How to write a helpful customer reply without overpromising
A useful reply should acknowledge the customer's problem and state what is known. It should not quietly turn an internal assumption into a shipping date, refund, discount, or commitment.
1. Separate confirmed facts from the unanswered question

"My order has not arrived. Can you tell me when it will be delivered?"

- The order was marked dispatched yesterday.
- The carrier tracking page has not updated.
- No new delivery estimate has been confirmed.
The missing delivery estimate is the important boundary. A polite reply should not fill it in with "soon" or a guessed date.
2. Give the customer a truthful, useful reply

Hi, thanks for getting in touch. I can confirm that your order was marked as dispatched yesterday. The carrier tracking page has not updated with a delivery estimate yet, so I do not want to give you a date that may be inaccurate. If you have a delivery deadline, please reply with it and we can review the available options with you.
This acknowledges the concern, provides the confirmed status, and offers a next step without promising a carrier update or a delivery date.
3. Keep internal checks separate
Before sending, the team may need to verify the carrier status, the store's late-delivery policy, or whether a replacement is available. Those are internal notes, not promises to put into a customer reply until they are approved.

- Is the dispatch status confirmed in the order record?
- Does the business have an approved policy for a missing carrier scan?
- Has anyone authorized a replacement, refund, or delivery commitment?
4. Avoid these common mistakes
- Do not say a parcel will arrive "soon" when the tracking information does not support it.
- Do not promise a refund, replacement, tracking email, or investigation unless the information explicitly authorizes it.
- Do not make the customer guess what happens next. State the known status and invite them to share a deadline or further need.
